ORGANIZER (TRAVEL AGENCY): This is the Travel Agency under the name “MAVROU VASILIKI” and distinctive title “TRAVELLERS CLUB”, headquartered in the city of Kavala (street Amynta number 12, PC 65302 and Travel Enterprises Registration Number 0103Ε60000031901). We organize tours and provide booking services for tourist services of third parties (packages, cruises).
CUSTOMER (TRAVELER): You are the traveller who participates in one of our travel programmes. Your participation in our travel programme implies the unconditional acceptance of these terms and conditions.
GENERAL: The brochures published by our office are for informational purposes only. The final configuration of the trip, its services and fare are included in the organized trip informational literature. Travel programme information and details may change due to frequent and extraordinary changes in conditions worldwide, especially in transport and international relations. The itineraries may also vary, depending on local conditions and any unforeseen events in relation to the time and day of the tour. Each trip’s duration is approximately stated.
ORGANISED TOURS: The organised tours provided by our office comply with Directive (EU) 2015/2302, as it was incorporated into Greek law based on P. D. 7/2018.
RESERVATIONS – BOOKING FORM: Your participation in an organised trip requires the completion and signing of the relevant booking form as well as a cash deposit. Participation in any of our programmes also means the unconditional acceptance by the client of the General Terms and Conditions. By submitting the above booking form, you acknowledge and accept these terms and conditions.
To enrol in one of our trips you must be at least 18 years old or over. Minors need to be represented by a parent or legal guardian.
It is important to note that participation in some of the excursions for people with disabilities may be limited due to insufficient / inappropriate services (e.g. lack of ramp and other suitable services for people with reduced mobility). At the time of booking you must report any health problems or other issues that may affect your ability to participate in any of our excursions or in any of our individual excursion activities due to insufficient / inadequate services. In case we have not been informed, at the time of booking, of any particularity of yours, the office does not assume any responsibility. The office also reserves the right to cancel your trip without compensation.
Reservations / registrations are accepted up to 7 days before the departure of each trip. Within the last 7 days, reservations are accepted depending on availability, at which time a full payment is required.
PRICING POLICY: Tour fares are in Euros and are determined based on the cost of services. The agency reserves the right to adjust prices in the event of unforeseen increases in fares, foreign exchange, fuel or any other change of the original cost data.
INFANTS AND CHILDREN: Infants (0-2) travel free of charge and special discounted rates may apply for children from 2 to 12 years old. For infants (0-2) and children (2-12) a document is required to indicate their date of birth.
CANCELLATION BY THE ORGANIZER: Our office has the right to cancel any trip due to reduced participation and force majeure at any time. In such a case, the fare is refundable.
CANCELLATION BY CUSTOMER:
- Cancellation of the customer’s participation 30 days before departure: refund of the entire amount except for any third-party charges.
- Cancellation 29-8 days before departure: refund of 35% of the value of the trip excluding any third-party charges.
- Cancellation 7 days before departure: no refund.
In case a trip is not used by the customer, the fare is NON-REFUNDABLE. Cancellations will not be accepted after the expiration of the booking deadline for each trip. Also, a trip participant who interrupts his trip before the end of the programme, is not entitled to a refund.
OBLIGATIONS OF THE ORGANIZER: Our Office, “TRAVELLERS CLUB”, acts as a mediator between the clients / travellers and the various service providers that are used to organise the trips (transport companies, airlines, hotels, local travel agencies, etc.). which are not directly controlled. Having exhausted all possibilities of provision and care, our agency is not responsible for wrong actions and omissions of third parties, foreign to the provision of services and their associates and for emergencies such as cancellations, delays or itineraries of various means of transport due to unstable weather conditions, epidemics, fires, floods, earthquakes, disasters, strikes, political events, war or threat of war, hijackings, terrorist acts, riots, etc.
It is emphasised that, “TRAVELLERS CLUB”, is not able to anticipate or control circumstances that are foreign to its sphere of influence and may lead to the cancellation of the trip or non-execution or improper execution of the agreed travel services. (Examples: accidents, illnesses, epidemics, injuries or hardships due to war, coups, terrorist acts, hijackings, earthquakes, weather, fires.) In the above cases, we will make every effort to support and care for our customers, without this constituting a liability or obligation to cover the relevant extraordinary expenses, which will have to be paid by the customers themselves.
Reasonable complaints, during the trip, must be reported immediately and on the spot to the attendant (or, in the absence of this, to our office), and to the provider of the specific service, in writing and no later than 7 days. In a different case, they will not be taken into consideration.
LIABILITY OF ORGANIZER FROM THIRD PARTY SERVICES: We do not assume responsibility or liability for any service that has not been sold by us. However, we make sure that every excursion / trip sold by us is made by specialized excursion / travel providers. We are not responsible for the actions or omissions of third parties.
Please note that in reference to all excursions, we take no responsibility or liability for any loss, damage or injury you may suffer. We are not responsible for any misconduct or injury which is wholly due to the fault of the passenger or anyone in his company and / or the unforeseen or unavoidable act or omission of a third party unrelated to the provision of services during the trip / excursion and / or unusual and unforeseen circumstances beyond our control and / or the control of a related supplier, the consequences of which, even with due diligence, could not have been foreseen or prevented.
OBLIGATIONS – CUSTOMER RESPONSIBILITIES: Participation in an organised trip implies appropriate social behaviour and understanding towards fellow travellers and organizers (escorts). For this reason, it is necessary for the customers to fully comply with the travel plan, the instructions of the escorts and guides. Lack of consistency in combination with any other problems created by the client, the organizer reserves the right to cancel his participation even during the trip, when necessary, without compensation.
Each traveller is responsible for his timely arrival for the trip’s departure. Customers from other areas have the responsibility to arrive earlier at the trip’s departure point. In case of missing the means of transportation, the traveller is responsible for his reconnection with the group. If it is not possible for the customer to connect with the group, he has no right to a refund.
Each traveller is also responsible for being on time at the venues for the various programme activities during the trip. Delay and inconsistency of the customer lead to missing the specific programmed activity and the customer is not entitled to a refund for the service lost. In such cases the customer in order to reconnect with the group, will have to do so at his own risk and expense.
In any domestic or abroad trip, it is mandatory to be aware of the necessary travel documents (identity card, passport, visa, etc.) of the country and are required for crossing the borders or checking airports during the trip. You are also responsible for possessing them during border crossings and available for demonstration at a police or customs checkpoint. In case it is not possible to cross the border or from airport control due to a customer’s fault (lack or damage of identity or passport, non-issuance of visa), the traveller waives the right to continue the trip. In this case our office does not bear any responsibility, no refund is available and there is no other obligation of compensation from our office, since the incident is due to a customer’s fault.
LAW AND CUSTOMS OF EVERY COUNTRY: The traveller must comply with the laws and customs of the visited country.
LATE ARRIVAL-DELAY: We take no responsibility in the event that the means of transport does not wait for the traveller who has been delayed or held by the local authorities, for any reason.
SAFETY: Please take care of your personal belongings. Each traveller is solely responsible for the safekeeping and protection of his personal belongings. We bear no responsibility in cases such as theft, loss, damage to luggage and various items, loss of money and travel documents of travellers, etc.
USEFUL ACCOMPANYING INFORMATION
TOURS – EXCURSIONS: Each tour to take place requires a minimum number of participants determined on a case by case basis.
In addition, there is the possibility of private tour, upon timely request.
SHOPPING: On Excursions, time may be provided for optional shopping, which is specific and limited. In this case, customers must return in time to the departure appointment to avoid any delay and inconvenience to fellow travellers. We take no responsibility for any problems that may arise related to any purchased goods. The removal of cultural objects as souvenirs is prohibited and is punishable by the law of each visited country.
RECOMMENDED DRESS CODE: In places of religious worship, please keep your knees and shoulders covered. You may be barred from entering if you are not properly dressed. Please wear comfortable clothes and shoes suitable for walking as some archaeological sites have stairs and uneven surfaces. It is also recommended to use a hat and sunscreen as well as to have a bottle of water with you.
HOTELS: The hotels where travellers stay have been selected by our office with the criteria of quality, cost and location. The category of hotels mentioned is in accordance with the classification of the Tourism Organization. But since there is not an internationally accepted criterion, for this ranking, it makes sense that hotels differ from each other even if they belong to the same category.

The above information constitutes personal data, according to Regulation 2016/679 (Article 4 No. 1), which stipulates that personal data is any information concerning an identified or identifiable natural person (“data subject”).
The collection of this information is necessary in order to verify the identity of our client, to contact you, to issue the respective service invoices, to have complete details of your personal situation, so that we can provide you with full services, as well as and, possibly, in order to claim our remuneration.
The processing of your personal data is done for the execution of the order, i.e. the preparation, organization and execution of excursion programmes, the mediation for the issuance of tickets by any means of transport and other similar actions, as it is necessary for the provision of our services.
The retention time of your personal data is determined from the moment you complete the reservation at our Office, until the end of your trip / excursion, but it can always be extended according to your will or desire. Personal data processing is limited to the actions absolutely necessary for the operation of the contract for the organization of your trip or excursion.
All data are subject to both automated and non-automated processing by the information systems of our Office. The Office shall take all appropriate organizational and technical means to secure such data.
We do not transmit your personal data to third parties, unless it is necessary for completing your requests. More specifically, the disclosure of your personal information is done in partner travel agencies of your choice. Third parties to whom your personal data is transmitted in this way are not entitled to use it for other purposes.
MEASURES DUE TO COVID-19: It is also noted that due to the occurrence of the COVID-19 pandemic, travellers must comply with the applicable instructions and follow the proposed measures of the national Public Health Organisation, the competent Ministries and other services in Greece and of the WHO and the respective competent bodies worldwide (indicatively filling in the passenger locator form in the required means of transport, use of a mask, monitoring of your health for a specific period of time).
SETTLEMENT OF DISPUTES: TRAVELLERS CLUB and the customer are committed to resolve in good faith any dispute that may arise during the execution of the contract of the organized trip. If the amicable settlement of the dispute is not possible, the Courts of Kavala are competent.
Finally, it is reminded that all excursions / trips organized by our office are subject to these terms and conditions.
